From work order to carrier report

Where do we take the chasing out?

Six places maintenance jams. The system does the prep. Your people make the call.

Where it jams

Planned maintenance

Routines for power, cooling, fire and security live in spreadsheets. Overdue tasks show up late.

What the system does

Creates work orders from the maintenance plan. Tracks due dates. Flags anything slipping out of compliance.

Who signs off

Your maintenance coordinator confirms.

Where it jams

Work orders and callouts

Faults handed out by phone. Access details and scope go missing.

What the system does

Creates the ticket with site, asset, fault, access needs and evidence required. Tracks it to close.

Who signs off

A supervisor approves before dispatch.

Where it jams

Test results

Battery tests, generator runs and cooling service records come back incomplete.

What the system does

Checks every record against the routine. Tells the tech what is missing while still on site.

Who signs off

A technical lead accepts the result.

Where it jams

Corrective works quotes

Battery, generator and cooling quotes checked line by line.

What the system does

Compares each quote with asset history, scope and rates. Flags variances and duplicates.

Who signs off

Your asset manager approves or queries.

Where it jams

Defect follow-up

Defects found on inspection sit open for weeks.

What the system does

Logs each defect against the asset. Chases the fix photos. Escalates anything overdue.

Who signs off

Quality signs off the fix.

Where it jams

Carrier reports

Monthly reports and compliance packs take days to pull together.

What the system does

Builds the report or compliance pack per site, region or period, with a checklist.

Who signs off

Your contract manager approves before it goes to the carrier.

Human in the loop. Always. No dispatch. No quote approval. No carrier report. Not without a named person signing off. We just remove the waiting.

Agentic quoting where SORs do not apply

What happens when the Schedule of Rates does not cover the job?

Routine maintenance is priced from the Schedule of Rates (SOR). Corrective works often are not. Generator, battery and cooling repairs, make-safe works and site upgrades need a custom quote. That is where margin leaks and sites wait. Our quoting agent builds the non-SOR quote. Your estimator signs it off.

  1. 01

    Spot it

Reads the work order, test results and photos. Flags work with no SOR item.

  2. 02

    Build it

Drafts the quote from asset history, parts, labour, access and travel. Every line shows its source.

  3. 03

    Check it

Tests the quote against your margin rules, similar jobs and the carrier contract terms. Flags gaps and risks.

  4. 04

    Approve and chase

Your estimator approves and issues it. The agent chases the carrier response and logs the outcome.

Human in the loop. Always. The agent drafts and checks. A named estimator or contract manager approves every non-SOR quote before it goes out.

Stopped
Cybersecurity, delivered

Phishing. Fake invoices. Stolen records. How do maintenance contractors stop them?

Telco contractors are easy targets. Lots of invoices. Lots of subcontractors. Crews on phones in the field. We see it every week. So we deliver the cybersecurity too.

The threat

Phishing emails

Fake emails. They look like a carrier, council or supplier. One click and a password is gone.

How we stop it

Email filtering. Domain protection (SPF, DKIM and DMARC). Phishing training for the office and the field.

The threat

Fake invoices

Someone changes the bank details. Or bills for work that never happened. The money is gone before anyone notices.

How we stop it

Every bank detail change and unmatched invoice gets flagged. A real person checks by phone before anything is paid.

The threat

Hacked accounts

A stolen password gets someone into your email, job system or accounts. Then they act as one of your people.

How we stop it

Multi-factor authentication on every account. No shared logins. Alerts on strange sign-ins.

The threat

Stolen records

Customer addresses, site access details, rates and contracts. Copied out and sold.

How we stop it

Access reviews. Least-access permissions. Tested backups. Alerts on unusual downloads.

Start with a Security Health Check. We test you against the Essential Eight. We check your email and payment controls. You get a plain English fix list, worst risks first.

Fix it

We build the automation. Limited access. Human sign-off. Full records.

STEP 04

Prove it

We compare against the baseline. You decide: scale it, tweak it or stop.

Fixed scope. Fixed price.
